Phoenix Gold Mine- School, Camp & Scout Tours

Hello! Thank you for your interest in bring your group to the Phoenix Mine! We are excited to welcome organized groups such as schools, summer camps, scout troops, youth organizations, and similar entities. To ensure a smooth and enjoyable experience for all, we have established the following policies for school group tours: 

Eligibility

School, camp, and scout group rates are for educational organizations with the goal of expanding knowledge about mining history and its significance in this area. This policy is intended for non-family groups. We reserve the right to deny this rate and apply the full price if the educational intent or organizational affiliation is not met.  

1. A Minimum of 15 people is required to qualify for the school group rate. 

2. We can comfortably fit 60 students at our site with a maximum capacity of ~80 students. If you exceed this limit, please email us at phoenixtourmine@gmail.com to see if we can accommodate you party.  

3. A minimum of 1 teacher/chaperone per 20 students.

Organization Affiliation: All groups must be connected to an established organization (e.g., schools, scout troops, summer camps, youth clubs, home school co-ops). A representative of the organization must coordinate the booking and provide name of affiliation (Example: West Denver Elementary). 

School and Camp Rates:

$10.00 per student, camper, scout or participant.

$5.00 per teacher or staff directly affiliated with school or organization

$15.00 per parent chaperone

Homeschool Policy: Each family will have one parent qualify for the teacher price. Other parents or adults in the family attending will qualify as a parent chaperones.

Booking & Payment:

1. Advance Reservation Required: All school group tours must be scheduled at least 1 week in advance to ensure availability and proper accommodations. 

2. Payment in Advance: Full payment for the group tour must be made at least 1 day prior to the scheduled tour date. Failure to pay by this deadline may result in the cancellation of the reservation unless payment upon arrival arrangements have been made in advance. 

3. Gratuity: Given the nature of our business and the services we provide, we charge all large organized groups gratuity that goes to our guides. The gratuity amount can be chosen between 10%, 20%, and 25%.

4. We will not accept individual payments from parties within a group, if this is not acceptable, please book your tour though the Phoenix Main Level Mine tour & Panning section on our booking site.

5. Head count: Please provide an estimated count of how many will be in your group including students, teachers, and chaperones. If these numbers change as your arrival date approaches, please let staff know in advance.

Cancellations & Rescheduling: 

1. Cancellation Policy: Group cancellations follow the official cancellation policy of The Phoenix Gold Mine. A minimum of 24 hours' notice is required for cancellations. 

2. Rescheduling: We will accommodate rescheduling requests provided they are made at least one week in advance of the tour date, subject to the availability of regular tours. 

Arrival & Tour Conduct: (What to Expect)

1. Arrival Time: Groups should arrive at least 30 minutes before the scheduled tour to allow for check-in and any necessary preparations. 

2. Teacher and/or Chaperones Duty: Teachers/Chaperones are required to actively supervise participants during the tour. While our guides will assist with information and safety, a group teacher/chaperone must always remain with the group. 

3. Group Conduct: All participants are expected to follow the tour guidelines and respect the safety protocols of the mine. Disruptive behavior may result in the termination of the tour without a refund, as per our refund policy. 

4. Liability Waiver: All participants are required to sign our digital liability waiver before arrival. Participants under the age of 18 must have the waiver signed by a parent or guardian on their behalf. 

5. Groups Size: Groups exceeding 20 students will be split into appropriately sized groups and enter the mine at a given time to ensure the quality of our tours. At least 1 teacher/chaperone is required to be on each tour with the students. 

6. Note: The arrival and conduct are reliant on capabilities of the staff on site at the time of the tour, adjustments maybe be made based on those capabilities as needed, the guidelines as it relates to tour sizes and when groups will enter the mine are subject to the discretion of staff.  

Additional Information: 

1. Buses/Large Vans: Let Phoenix staff know prior to your arrival that buses or vans will be brought there is specific parking for these vehicles to use, along with a bus turnaround point above the Phoenix Mine.  

2. Special Accommodations: Please notify us of any specific requirements (e.g., accessibility needs) at the time of booking so we can make appropriate arrangements. 

3. Weather-Related Cancellations: In the event of inclement weather, we reserve the right to cancel the tour for safety reasons. In such cases, we will offer the option to reschedule or receive a full refund.
